Spend Cube Starter: Category Rollup and Vendor Concentration From a CSV
Before you can consolidate suppliers or renegotiate contracts, you need to see where the money goes. A spend cube rolls payments up by category and vendor so concentration, the long tail and duplicate vendor records stand out. Most teams can produce a three-column export from their AP system in minutes.
Paste or upload rows of vendor, category and amount. Your data stays in your browser: nothing is uploaded or stored. You get a category rollup, the share held by your top vendors, a count of tail vendors under a threshold you set, and a list of possible duplicate names, plus a CSV of the results. A small illustrative sample is loaded; replace it with your own data.

The formulas
- Category spend and share
- Σ amounts in the category; share = category spend ÷ total spend × 100
- Vendor spend
- Σ amounts for rows with the same vendor name
- Top-N concentration
- Σ spend of the N largest vendors ÷ total spend × 100
- Tail
- Count and combined spend of vendors whose total spend is below your threshold
- Name normalization
- Lowercase, remove punctuation, drop suffixes (inc, llc, ltd, corp, co, company, limited, gmbh, plc, lp, llp, sa, the); vendors with the same result are flagged
How to interpret your result
Start with the categories that are large and fragmented
A big category spread across many vendors is the usual place to look for consolidation. A big category with one vendor is a dependency to understand.
Read concentration both ways
High top-N share can mean leverage in negotiation or exposure to a single supplier. Decide which applies before you act on it.
Clean duplicates before drawing conclusions
The same supplier under two names splits its spend and hides its true size. Merge flagged duplicates and rerun.
Treat the tail as a process question
Many small vendors raise the cost of onboarding, approval and payment. The right threshold is your own: the amount below which a vendor is not worth individual management.
Check completeness
The analysis is only as good as the export. Compare the total with your ledger for the same period, and note categories left blank or coded as uncategorised.
Frequently asked questions
What is a spend cube?
A spend cube is a view of spend across dimensions such as vendor, category and time, so you can see where money goes and where consolidation or renegotiation could help. This tool builds the first two dimensions from a simple three-column file.
What columns does my file need?
Vendor (or supplier), category and amount (or spend). Include a header row with those names and the columns are found automatically. Without a header, the first three columns are read as vendor, category and amount.
Does my data leave my browser?
No. The file or pasted text is parsed and analysed entirely in your browser. Nothing is uploaded, sent to a server or stored, and closing the page discards it.
How are duplicate vendor names flagged?
Names are lowercased, punctuation is removed and common legal suffixes such as Inc, LLC and Ltd are dropped. Vendors that match after that are listed as possible duplicates. It does not catch misspellings or abbreviations, so review the flags yourself.
What is the tail?
The tail is the set of vendors whose total spend falls below a threshold you choose. Many small vendors can mean extra approval and payment effort for little spend, so the count and combined dollars show how much of your vendor base that is.
How are credits and bad rows handled?
Negative amounts, including those in parentheses, are included and reduce totals. Rows with no vendor name or a non-numeric amount are skipped, and the count of skipped rows is shown.
